Document Holders:
Contrary to popular belief there is more than one type of document
holder. To ensure the most appropriate one is purchased it is
therefore essential to ask some basic questions: |

How often will it be used? |
If the answer is often, then it is important that the
holder is stable and well made. |
|
What are the tasks of the user? |
Do they need to write on the reference documents?
Do they need to have the telephone easily accessible?
This will influence the size and type of the holder. |
|
What are the characteristics of
the reference documents? |
Will the user be using A4 sheets in the portrait
or landscape position? Will they use A3 sheets? Is the
information in books or binders? |
|

Armed with this information you should be able to choose
a suitable document holder which the user will actually
find helpful. There are several types to choose from: |

 |
The common, A4, portrait, plastic
document holder that can be adjusted to accommodate both
landscape and portrait |
|
 |
A3 sized holders that are often sold as writing slopes. |
|
 |
Adjustable holders (usually A4 sized) which clamp onto
the desk. Similar in design to the angle poise lamp they
can be quickly and easily adjusted to a comfortable distance
and height. |

Document holders that attach to the side of the monitor. |
|
|
|
Before purchasing a document holder first look and ask
around your department to see if there are any that are
not currently used. A large number of people buy the wrong
type document holder, or do not have the need for one
so resign them to the back of the general junk cupboard.

stationary or office equipment suppliers. Prices range
from £6 to £30.
The Schedule to the Display Screen Equipment Regulations
which details the minimum requirement s for workstations
gives the following guidance:
The document holder shall be stable and adjustable and
shall be positioned as to minimise the need for uncomfortable
head and eye movements. |
